Minor student enrollment policy
For students aged 14–17 — information for parents and guardians
We welcome young learners aged 14 and above. This page explains how enrollment works for students under 18, how we communicate with families, and the steps we take to protect every student in our courses.
Who can enroll
Our courses are open to students aged 14 and above. Students under 14 are not currently accepted. Students under 18 must be enrolled by a parent or legal guardian, who becomes the primary account holder and point of contact for all course-related matters.
If you are a student aged 18 or over, you may enroll directly in the standard way.
How enrollment works for students aged 14–17
When enrolling a student under 18, the parent or guardian completes the enrollment form using their own contact details. We collect:
· The parent or guardian’s name, email address, and phone number (primary contact)
· The student’s first name and age or year of birth (for course placement and roster purposes only)
We do not collect the student’s email address. All account access, receipts, course communications, and instructor messages are directed to the parent or guardian’s contact details.
How we communicate
All communication between our instructors and students under 18 takes place through our official course platform or organizational email. Our instructors do not contact students directly through personal email, social media, or any messaging platform outside the course environment.
If an instructor needs to share feedback, raise a concern, or follow up on coursework, they will do so through official channels, and the message will reach the parent or guardian’s inbox.
Live sessions and one-to-one contact
Most of our courses are delivered in small groups. Where a student under 18 may have a one-to-one session with an instructor — for example, a tutorial or placement call — we kindly ask that a parent or guardian be present for the duration of the session, or that a second Institutum representative join the call.
We will always give you advance notice of any one-to-one session involving your child.
For 1:1 tuition, constant presence of a parent isn’t required, but it is advisable parental “availability” or “presence” in the house at your discretion.
Session recordings
Live sessions may be recorded for internal review and quality purposes. Recordings are not published, shared externally, or used for any purpose other than course improvement. If we ever wish to use a recording in a different way — for example, as a teaching sample — we will seek your explicit written consent separately and in advance.
Student data and privacy GDPR & COPPA
We collect only the minimum information needed to deliver the course. We do not share student data with third parties for commercial purposes. Data relating to students under 18 is treated with additional care in line with applicable data protection law, including GDPR and COPPA where relevant.
You may request access to, correction of, or deletion of your child’s data at any time by contacting us at the address below. Full details of how we handle personal data are set out in our Privacy Policy.
Our instructors
All instructors who teach courses in which students under 18 are enrolled have signed a safeguarding declaration confirming that they have no criminal convictions relevant to working with children or young people, and that they are not currently subject to any related investigation or proceeding. We are in the process of implementing formal background clearance checks across our international instructor team in consultation with legal counsel.
Our instructors understand and operate under our internal safeguarding conduct standards, which include restrictions on private communication with minor students and requirements for adult presence in one-to-one sessions.
Withdrawing from a course
You may withdraw your child from a course at any time by contacting us. Our standard refund policy applies. You may also withdraw consent for data processing or recording at any time; please note that withdrawal from a live course may be necessary if continued participation requires the use of that data.
Raising a concern
If you have a concern about any aspect of your child’s experience — including a concern about an instructor’s conduct — please contact us immediately. We take all concerns seriously and will respond promptly. Where a concern relates to the safety of a child, we will act in accordance with our safeguarding obligations, which may include reporting to relevant authorities.
